BACKGROUND

The Z. Smith Reynolds Foundation is a statewide, private, family foundation dedicated to improving the quality of life for all North Carolinians. The Foundation was established in 1936 as a memorial to Z. Smith Reynolds, the youngest son of R.J. Reynolds. For more than 80 years, the Foundation has been engaged in forward-thinking philanthropy with contributions of $647 million in North Carolina.

The Foundation’s current All For NC Framework for Grantmaking and Learning includes the following strategies: 

  • State-Level Systemic Change Strategy, to improve state-level systems and structures to remove barriers and create opportunities;
  • Community-Based Strategy, to leverage the unique assets, knowledge, experience and connections in communities to create meaningful change; and
  • An Exploratory, Visionary Ideas Strategy, to invest in the bold ideas of North Carolinians.

Alongside these three main strategies, the Foundation has also expressed its commitment to:

The intent of the Foundation’s Framework for Grantmaking and Learning is to provide different strategies that meet people and communities where they are, as well as break down silos, allow more flexibility in our grantmaking, and provide multiple entry points for potential applicants. The Foundation recognizes that not all the work that is funded will fit neatly into these three strategies; rather, there is work that lives in between them. Therefore, the Foundation wants to remain flexible to foster those areas of intersection.

ACCOUNTANT POSITION DESCRIPTION

The Z. Smith Reynolds Foundation is hiring an Accountant to record day-to-day financial transactions, maintain financial records, and provide general office and administrative support. The Accountant is a member of the Administrative Staff and reports directly to the Business Manager.

PRIMARY RESPONSIBILITIES

Primary responsibilities of the Accountant would include, but are not limited to:

  • Maintaining records of financial transactions by posting and verifying to ensure completeness and accuracy of financial data.
  • Maintaining accounting/bookkeeping policies and procedures.
  • Maintaining the chart of accounts.
  • Serving as knowledge expert on the accounting system.
  • Creating ad-hoc reports and analyzing financial data.
  • Preparing bank deposits.
  • Calculating weekly cash needs and submitting funds requests from short-term investments.
  • Preparing and submitting wire deposits to short-term investments as needed.
  • Printing checks and generating EFT/ACH payments for weekly vendor and grant payments.
  • Serving as liaison to third-party business partners and vendors.
  • Maintaining and reconciling petty cash.
  • Closing the accounting records timely each month including preparing journal entries and generating financial statements monthly and at year-end.
  • Reviewing monthly bank reconciliation.
  • Preparing and submitting payroll through third-party payroll processor. This process includes ensuring timesheets are collected, approved, and processed; maintaining employee data in the system, and ensuring employee deductions and elections for federal and state tax withholdings, flex spending, and retirement are properly set up in the payroll system.
  • Submitting timely retirement plan contributions.
  • Reviewing and distributing annual W2’s.
  • Generating and distributing 1099s each year.
  • Gathering and preparing documents and information for annual financial audit. Serving as point of contact for external auditors during planning and field work.
  • Gathering and preparing documents and information for annual tax return. Serving as point of contact for external tax accountants.
  • Serving as plan administrator for retirement plan and as point of contact for preparation of the annual Form 5500.
  • Providing financial information annually for inclusion on the Foundation’s website.
  • Completing on behalf of the Foundation outside audit confirmations, questionnaires, and surveys.
  • Coordinating and managing the flexible benefits program.
  • Managing vacation/sick leave balances and reporting for all staff.
  • Ensuring compliance with federal, state, and local legal requirements.
  • Attending Board meetings and any other meetings of the Foundation as deemed necessary. Some overnight travel is required (<10%).
  • Additional administrative duties as assigned by the Business Manager to support the financial and operational work of the Foundation.

QUALIFICATIONS

The successful candidate will be knowledgeable of accounting and financial standards, detail-oriented, highly organized, be an initiative-taker with excellent time-management and communication skills, able to meet all deadlines, work well in a team environment, and provide effective customer-service support to Staff, Trustees, and others who contact the Foundation.

  • Solid knowledge and experience of accounting and financial standards, transactions, and processes including disbursements, payroll, reconciliations, general ledger management and month-end closings
  • Proven experience handling complex financial data and transactions
  • Experience working with external auditors and accountants in the completion of financial audits and tax returns
  • Strong business acumen
  • Strong verbal and written communication skills
  • Excellent time management skills with a proven ability to meet deadlines
  • Demonstrated organizational skills and attention to detail

  • Proficient with Microsoft Office Suite and other relevant technologies
  • Experience using accounting software.  Knowledge of Blackbaud SkyView or FE/NXT Accounting Software is a plus.

A bachelor’s degree in accounting, finance, business administration or related discipline and at least five years of related work experience are required.

The salary range for this position is $65,000 - $75,000, based upon the candidate’s level of knowledge, education, skill and experience. The Foundation provides an exemplary benefits package.
