The?Aging and Long-Term Support Administration, Office of the Deaf and Hard of Hearing (ODHH) is looking for an Administrative Assistant 3 to join their office in Lacey, WA. In this role, you'll provide administrative and secretarial support to the ODHH Unit Supervisor and the ODHH Program Managers Unit who are responsible for protecting the rights and privacy of vulnerable populations.
Some of what you'll do
- Assist Unit Supervisor with scheduling as needed
- Provide administrative support to the ODHH Unit Supervisor and ODHH Program Managers Unit.
- Monitor and respond daily to emails, Teams, and phone inquiries, including explaining complex rules, policies, and operating procedures to headquarters and field staff, and the public
- Communicate clearly with ODHH staff using American Sign Language
- Coordinate the search for and the location of records; scan, organize, and electronically send records according to applicable filing systems, processes, and retention schedules.
- Resolve issues around receipt, submission, and time frames to ensure federal and state requirements are met
- Assist Unit Supervisor in the development, preparation, and processing of unit reports and quality assurance to determine unit?s work product
- Aid the management team by performing research, and act as liaison to units and programs
- Develop new and/or modify existing work methods, procedures, or strategies to solve new or unusual problems
- Assist with on-boarding of newly hired staff
- Assist with travel arrangements and ordering business materials as needed
- Assist with meeting logistics including reserving rooms, setting up Zoom and Teams links, developing meeting agendas, coordinating access requests and catering requests, and taking meeting notes.?
What we're looking for
- Knowledge of office procedures and practices, records management, business management/practices, research methods, data collection and measuring work production, inventory control, communication, and correspondence practices
- Ability to work independently, read, understand, and interpret policies and procedures, develop written reports, work effectively with others, communicate effectively
- Proficiency in working with Microsoft Office applications
- Excellent computer skills including accurately typing at a net speed of 50 words per minute
- Ability to multi-task and prioritize workload, meet time requirements for submission of data, and operate standard office equipment; such as printer, copier, fax machine, and videophone.?
Who should apply?
- Professionals with a high school diploma or GED, with three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
OR
- Formal education and/or training in office or administrative occupations, bookkeeping, or accounting will substitute year-for-year for the experience.
AND
- Fluency in ASL (American Sign Language)
Prior to hiring, the selected applicant will be offered the position with the contingency of successfully passing the ASLPI.?
This opportunity may be entitled to basic salary plus 5% increase for dual language.?
